Family Services Meeting

April 28, 2003

On-site at WSR

6:30PM - 8:45PM

"Dad and Me Kids Worship"

Attending: GVT, Bob Jordan, Karon Carroll, Dave and June Baerman, Rich Fricks, Wayne Orendorff, Rick Gray, Allen Bass, Christy and Paul Carrozzo

Strategy-

Bob Jordan and His Harmony get the ball rolling with Central Community Church. CCC will ultimately assume complete responsibility for the service.

·         Bob Jordan, 24 years prison ministry experience will be behind-the-scenes group leader. First three months (more if needed). He will coach the new volunteers and handle WSR staff issues.

·         His Harmony will be in this ministry for 9 months. The first three months at WSR then hand off to CCC. Next 3 months to train up a team at TRC, then last three months at MSU

·         CCC - Central Community Church takes baton after three months from His Harmony to lead the ministry. His Harmony will conduct the actual service entirely for the first three months with CCC observing and then participating at His Harmony's invitation. His Harmony and CCC will need to interact "off line" during this season. CCC to oversee the ministry with their own group leader, assistant group leader, and support persons. Commitment of CCC persons is 12 months, one service per month.

Note: If more than 3 months of direct training is needed, it will be so provided by Bob Jordan and/or His Harmony.

Code of Conduct-

PFC Code of Conduct handed out and reviewed. Note that for CCC to begin ministry to inmate families they will need to counsel specifically with GVT to understand the issues involved in this kind of ministry.

Orientation-

Required by all institutions, involves a training session to get "red badged." Tentative date is Monday, May 12. Specific time to be determined.

Posters-

5 posters reviewed. Everyone agrees that Poster #5 is best.

Inmate Registration Status-

Even before a poster has been displayed, there are 18 inmates signed up for the May 18 service.

Set-Up and Arrival Time-

·         Actual service is 2pm-3:30pm. His Harmony will be bringing their own sound equipment and will need to have time or set-up. If CCC has 10 or more volunteers, and His Harmony has 6, that will be a lot of people going through at the same time and that taxes the administration.

·         For the first service, we will have two group arrival times.

·         Bob Jordan and CCC will be here at 12-noon on May 18. His Harmony will arrive at 12:45pm and come in.

·         The subsequent services will likely require later arrival times, but this first service is an "early bird" arrival.

Food and Drink-

Needed:

·         Once Ice Container

·         2 gallons choc milk

·         2 gallons strawberry or white milk

·         Sealed Costco Cookie "tub"

·         Costco Carrot Cake

·         Paper Plates

·         Cups

·         Napkins

·         Plastic Forks

PFC will cover the cost for the first two services (May and June). Volunteers will be asked to take up a free-will offering to fund month three and beyond.

Father's Day-

In June the third Sunday is Father's Day. Be aware of this! Service is still on. (Maybe celebrate on Saturday? Do a celebration after the WSR service? Be creative!)

Paperwork-

Everyone needs to complete paperwork that was handed out during the meeting.

Tour-

Team went through the metal detector and saw the meeting room.

Action Items-

·         GVT to confirm WSR orientation date and time. (May 12 likely). Christy C. cannot arrive before 6:30pm due to work schedule.

·         GVT to get poster #5 to WSR.

·         Allen Bass to organize getting and bringing all refreshments (save your receipts).

·         Rich to confirm with His Harmony the ladies availability. Need input to GVT by April 30.

·         All - get completed paperwork, signed and filled out, to PFC office on or before May 12.

·         GVT check with Goff to determine if Wayne needs another badge since his badge is at the other three facilities and not at the Reformatory.
